Finance and Operations Coordinator

Official Title: Finance and Operations Coordinator
Duration: Full-Time
Start Date: October 2024
Location: Pittsburgh Office
Salary Range: $26/hr to $34/hr commensurate with experience

The Finance and Operations Coordinator will support the Finance Manager and COO in the preparation of monthly, quarterly, and annual finance and operations deliverables and reports.  The Finance and Operations Coordinator reports to the COO, while working closely with the Finance Manager, Principals and project teams on specific deliverables.

Responsibilities may include:

• Processing employee expense reports and reimbursements
• Maintaining business registrations and DBE/WBE certifications for the firm
• Maintaining subcontractor documentation for tax and insurance requirements
• Responding to compliance requests for insurance renewals and project financial audits
• Processing bill payments
• Supporting Finance Manager with monthly invoicing process
• Timesheet oversight and payroll processing in ADP
• Reconciliation of bank statements
• Preparation of financial statements
  • P&L, Balance Sheet, Statement of Cash Flows
  • Projections
  • Budget v Actuals
  • AR Aging
• Documenting SOPs for Finance and Operations
• Assist with project financial close outs and accounts receivable follow up
• Manage finance calendar
• Coordinating Quarterly Finance Meetings
• Posting payments, deposits, and EFT to Quickbooks
• Filing and data entry

 Qualifications

• Experience with ADP, Quickbooks Online, GSuite
• Proficient with Excel/Google Sheets
• Strong communication skills
• Ability to maintain confidentiality while working with highly sensitive information
• Education: At minimum a Bachelor’s degree in Finance, Accounting, Business or relevant field.
